Why is my Mailbox FULL?
Here are the most common reasons for full mailboxes:
1. File Attachments, File Attachments, File Attachments... These are the greatest user of mailbox space.
For example: If I have a one page plain text message and save it as a plain text file it will be about 1,560 Bytes in size.
If I copy and then save that same file as a MSWord document it becomes 15 times larger or about 26,000 Bytes (thanks Microsoft!).
Also, a one page picture could be equal to about 1,950 of those same text messages (Picture files can very hugely so it's hard to
give exact numbers for comparison but I think the number I use here is about average.).
The point here is that just a few file attachments can quickly use up your entire Mailbox space allotment.
Save the important stuff somewhere and then Archive or delete the messages that have attachments.
2. Remember that when you delete something it is only moved to your "Trash" box and not actually deleted from the system.
It still counts as space being used so "Empty" your trash box to get rid of the ... Trash.
3. Check your "Sent" items. We often forget about these but they are stored in your mailbox and do use up space.
Often Sent items also have file attachments (*see point 1 above).
Remember you can also "Archive" your messages.
This copies them to your local computer and frees that space on the Email Server.
If you click on the "Mailbox Size: xx%" notification message on the Status bar (bottom right) of the Groupwise window
a new window will open showing you details about your mailbox usage.
In there you can view information about your overall usage, what's in your Trash box, Sent Items, Received Items, and etc.
You can also see the Maximum storage space allowed on your account.
If this is a constant and troublesome issue and you are keeping things cleaned up as mentioned above, but are still constantly out of space
then you may want to try asking for more space for your mailbox. Send a request to the help desk ( firstname.lastname@example.org ) and ... maybe they can
increase your mailbox size.
