I. Policy



The policy of the University is to provide adequate telephone communication consistent with the requirements of administrative and academic departments.

Telephone users are asked to familiarize themselves with the general information found in the Inter-Office Directories which are published annually and distributed to all members of the University community with a telephone extension.

II. Objectives



Telephone communication is a centrally managed essential service function. Continuing appraisal and comparison of the existing service and equipment and those available in the marketplace is made to ensure that the service provided is cost effective and compatible with telephone service provided at other universities in Ontario. Telephone equipment is provided in accordance with the allocation guidelines in Section III.

III. Allocation Guidelines



A. A regular touch-tone telephone is provided as necessary.
B. Other equipment is provided if deemed necessary by Telephone Services.
C. Telephones installed in open or public areas are restricted to on-campus calling.

IV. Hours



A. General
The switchboard is open on regular business days from 8:00 a.m. to 7:30 p.m., Monday through Friday. Between 7:30 p.m. and 8:00 a.m., Monday through Friday and weekends, all calls are handled by an answering device.

B. Special Occasions
For special occasions, switchboard coverage is arranged as required (e.g., Convocation weekends). Requests for such special coverage are directed to, and arranged by, Telephone Services.

V. Long Distance Calls (Off-Campus)



A special calling card will be issued to authorized individuals and departments for long distance calls made off campus to enable them to pursue their institutional responsibilities efficiently and effectively.

VI. Personal Calls



Personal calls must be kept to a minimum. Except for emergencies, personal long distance calls must not be charged to the University; employees must arrange to have their call charged to their own residence number. Telephone Services provides monthly reports to each department listing all long distance calls made on extensions under the department's jurisdiction. Charges for emergency personal long distance calls are to be reimbursed to the University by cheque and submitted to Telephone Services.

VII. Security



Only authorized personnel will be permitted access to the switchboard and equipment room.

VIII. Directories



Each department will be provided one local Bell Canada directory and an Inter-Office Directory for each telephone set under its jurisdiction. Additional directories must be ordered through Telephone Services and will be charged to the individual or department. A selection of commonly used directories for other cities are available in the Reference Department of the Library.
