Room Booking Policy

The Lyle S. Hallman Faculty of Social Work is pleased to be able to offer the use of its facility to the University community and non-profit organizations.  Booking of this facility is subject to agreement to the following terms:

I.    I understand that room availability is dependent upon the requirements of the Faculty of Social Work. Priority for allocating space and facilities will be according to the following order of priority:

i)    Academic activities and events, including classes, seminars and tutorials, convocations and Board and Senate activities

ii)    Meetings, guest lectures, and events related to academic activities

iii)    Non-academic meetings and other functions sponsored by the Faculty of Social Work or the University, related to the life of the University, and involving faculty, staff, or students

iv)    Events and activities sponsored by the Wilfrid Laurier University Alumni Association ((WLUAA) and recognized alumni groups and chapters

v)    Events and activities, such as conferences, meetings, conventions and seminars, sponsored by non-University organization which are non-profit educational, cultural, professional or social service
-    Non-University organizations may use the University’s space and facilities provided that they do not in any way conflict with existing University programs, policies, regulations or values
-    Non-University organizations may not represent themselves or their events as associated with the University
-    Non-University organizations may be subject to fees, as discussed in Section III.

II.    I understand that there will be no charge for the use of space; however, I and my organization are responsible to set up rooms and return rooms to the condition in which they are found.  Activities will be restricted only to the rooms formally booked. Non-compliance will mean that I and my organization will forfeit the right to further use of the space.

III    I understand that my organization and its participants using University facilities will be responsible for the care and maintenance of the facility.  I understand that a charge will be levied for clean-up required over and above regular custodial services. Costs for the repair of damages that may occur to a facility as a result of use will be charged to me and my organization.

IV    I understand that I am responsible for ensuring that visitors to my event are advised that they must not use the Faculty/Staff parking lot.

V    I understand that I am responsible for ensuring visitors are aware of any accessibility issues and the hours within which the building and elevator are accessible.

VI   Any children attending my event will be supervised by a parent or guardian.
